In our series of blogs on ‘reasons to archive’ we have looked at the evolution of archiving and discussed the four key business drivers of capacity management, compliance, discovery and PST management.  In this final blog we contemplate the future of archiving and how these solutions may evolve even further …

Email is now the main means of communication both internally and externally, and the information within it has become a valuable asset key to the operation of most businesses.  It is therefore essential to manage this data effectively across the entire organization.

Managing the email life cycle

We have seen how email archiving solutions have evolved from their initial role of Capacity Management to delivering broader Information Management capabilities such as Compliance, Discovery and PST Management.

These Information Management solutions are now able to manage the complete end-to-end email life cycle.

Expanding the scope 

Over the next few years we’ll see instant messaging and social media continue to increase in importance.  They will need to be managed in the same way that email is managed today, archiving and information management solutions will evolve to include these other formats.

PST files cause ongoing problems for many organizations today.  Often used by end users as personal archives for email and containing valuable business data, these files can be scattered widely across end user devices and network storage. The average size of a PST file is 1.3 GB – equivalent to more than 100,000 emails, and we find that organizations typically average 3-4 PST files per user.

Preparing for Discovery

An increasing number of businesses are having to perform discovery and document review exercises on a regular basis.  This may be in response to external litigation, a freedom of information request, or an internal workplace dispute. Organizations facing any of these scenarios need to locate responsive data, collect and preserve it, review it to ensure no information produced contains privileged information, eliminate any data which isn’t relevant to the case at hand, and finally produce this information to their own inside counsel or to an outside party.

Introducing cloud-connected archives

The Barracuda Message Archiver version 4.0 was launched as part of our Data Protection Plus initiative. One of the significant new features in this version is the enhanced integration with the Barracuda Cloud. Previously, the Barracuda Message Archiver could only keep data on its own hardware.   With BMA version 4.0, customers are now able to leverage cloud-connected archives as disaster recovery or extended storage.   Let's take a look at this new feature.

Is compliance important?

The business value of email continues to grow as organizations become increasingly reliant on it for their main means of communication.  Governments and other regulatory bodies are responding to this by putting in place compliance standards and regulations to ensure email is managed appropriately.  The penalties for non-compliance with these can be severe.

Compliance is therefore becoming a key requirement for many organizations, and as a result they are setting high level corporate governance guidelines.  These must be implemented in all areas across the organization to demonstrate and ensure that the business is operating in a compliant manner and to minimize ongoing legal risk.

Archiving solutions for email have been in existence for many years, and have changed dramatically since their early days.  Originally designed as a means to manage specific issues with mailbox management for email servers such as Microsoft Exchange, they have evolved steadily in response to changing market requirements and opportunities.
